Event and Organization Publicity

Event and organization publicity is a major tool that student organizations can utilize to increase event attendance, recruit members, and make the organization more well-known. Missouri S&T has several mediums available to student organizations to publicize events and organization operations.

Publicity Guidelines

  • For posting marketing or promotional materials in Havener Center or Innovation Lab, submit materials to Havener Center Information Desk for approval. 
  • To post materials on campus, student organizations must be recognized by the university. Special consideration may be given to organizations seeking recognition.
  • No materials shall be pasted, nailed, taped, stapled, or otherwise attached to any part of the interior or exterior (including windows & doors) of university buildings, light posts, or trash receptacles.
  • Materials cannot promote the consumption of alcohol or use of tobacco.
  • Sponsoring organization(s) must be identified on all materials.
  • Provide contact information on promotional materials such as email, website, etc.
  • Statements and/or pictures interpreted as discriminatory, illegal, or negatively directed at other students, faculty, staff, or student groups is prohibited.

Types and Modes of Event and Organization Publicity

MinerLink is the central hub for campus events and engagement. MinerLink is the best way to publicize organization events as the events calendar is visible to the entire S&T community. RSOs are allowed to hang cloth banners from the Havener Center atrium railing so long as they meet guidelines and are approved by Student Involvement. For guidelines regarding approved banner designs/dimensions and information on how to submit a banner hanging request, please visit the Student Organization Handbook.

Students may use sidewalk chalk on campus concrete to advertise events. Common spaces for chalking include the Havener front steps, library plaza, and the Puck. Chalking must align with guidelines outlined in the Student Organization Handbook.

eConnection

Missouri S&T distributes a digital newsletter to students, faculty, and staff called eConnection that contains news bulletins and event advertisements. eConnection is a great way to deliver event and organization information directly to the email of students that may be interested. Students can share news on eConnection and browse the newsletter for upcoming events.

KMNR Town and Campus News

KMNR is S&T's student-run radio station. KMNR hosts a segment called Town and Campus News where they share information about S&T and Rolla events, organizations, and celebrations, among other items. Town and Campus News is both broadcast live on-air five times a day and available on KMNR's website. Students looking to advertise for events and club operations should submit a segment for Town and Campus News.

MinerBytes

MinerBytes are the TV screens located across campus that display rotating ads for events. RSOs can submit ads to MinerBytes by working with the Student Union Board (SUB).

Social Media

RSOs are allowed to create and manage social media accounts for organizational purposes. Organizations are encouraged to advertise events and operations information on social media. Organizations may send their post or flyer to other organizations for their Facebook or Instagram story. Good organizations to reach out to for help with event publicity include:

Flyers

RSOs are able to hang flyers in campus buildings provided they meet Student Involvement and building guidelines. Posting guidelines can be found in the Student Organization Handbook. Each building on campus has different processes for hanging flyers. If you are ever unsure, there is usually a ‘front desk’ or receptionist that you can ask in each building. Building posting locations are below:

  • Student Involvement Center: bring flyers to the front desk and the student employee on duty will hang these for you
  • Havener Center: take flyers to the front desk for approval; for flyers in dining areas, you will need to get approval from Dining Services
  • Residence Halls: take to the front desk of each hall
  • McNutt: there are several bulletin boards organizations may use freely, but avoid the boards that are labeled for specific societies and departments
  • Engineering Management: Take to 3rd floor offices and they will approve and hang flyers for you
  • Computer Science: Post on large bulletin board in main hallway up the stairs, avoid using boards that are labeled for specific societies and departments
  • Emerson Hall (EE): Main bulletin board on ground floor (entrance across from G31 lecture hall)
  • Humanities and Social Science: Board outside G5 and 2 boards outside main offices
  • Library: Take to front desk for approval and then you post on “post” right inside main door
  • Butler Carlton Hall: Take flyers to the main office for approval and you post in the back bulletin board (toward 125)
  • Physics: there are several bulletin boards organizations may use freely, but avoid the boards that are labeled for specific societies and departments
  • Fulton: bulletin board located near lounge area
  • Centennial: Large bulletin board on first floor, bring your own tape to post on the main doors
  • Schrenk: Most boards are labeled for specific societies and departments, some additional boards are available, however table tents for the lounge area are recommended
  • Toomey: Take to the main office (190ish, past Student Success Center on the right) for approval and you can post on newsstand that faces the main mall between Toomey and Parker, also can post on small black board that is outside those doors. Classrooms have bulletin boards
  • Harris Hall: Enter the door facing Engineering Management and head up the first three stairs (the 1st floor) and go the Economics Office (all the way back on the left) give to secretary and see will post.

Do not use tape to hang flyers. Only hang them in the designated spaces.

*Student Involvement is not responsible for reviewing and approving flyers for student organizations. Each building on campus may have their own posting processes. It is recommended you reach out to the building before placing flyers in these locations. 

Posters

Organizations may advertise with large posters provided they meet university guidelines. Organizations can print posters by working with the S&T Printing and Mail Services or by requesting posters from the Student Union Board (SUB) printers.

Table Tents

Table tents are printed papers placed standing up on tables. Students may place table tents in the Havener Center and library. Table tents must be created and maintained in accordance with Events and Hospitality Management's guidelines.

Organizations may table in various spots across campus to advertise events and operations. Only organizations that are recognized by Student Involvement may reserve campus spaces.

Academic Spaces

Spaces in academic buildings (i.e. Toomey, the library, etc.) are controlled by the Registrar's Office. For information on reserving academic spaces, please contact the Registrar's Office.

Havener Center, Innovation Lab, The Puck, and Outside Spaces

Students can reserve a table in the atrium of the Havener Center near the food court, the Innovation Lab lobby, the Puck, and outside spaces to advertise for the organization's events and operations. To reserve a table, complete one of the following methods:

  • Visit MinerLink, create an event, and select a Havener Center table to reserve a spot. 
  • Visit the Reserve a Room page and self-book the space through EMS.
